Community Forum Policy

The Cottonwoods at Grant Creek HOA

Purpose

The Cottonwoods community forum is a space for residents to connect, share information, ask questions, and discuss neighborhood topics in a respectful and constructive way. This policy exists to keep the forum welcoming and useful for everyone.

By participating in the forum, you agree to follow these guidelines.


Who Can Participate

The forum is open to current residents, property owners, and authorized tenants of The Cottonwoods at Grant Creek. Access is managed through your HOA account. If you have questions about eligibility, contact the HOA board or MT Properties Group.


What Belongs Here

The forum is a great place to:

  • Ask questions about community policies, amenities, or services
  • Share neighborhood news, events, or announcements
  • Coordinate with neighbors (lost and found, recommendations, etc.)
  • Provide constructive feedback on community matters
  • Discuss topics relevant to life at The Cottonwoods

Community Standards

We ask every participant to keep these principles in mind:

Be respectful. Treat fellow residents the way you'd want to be treated in person. Disagreements happen — handle them graciously.

Stay on topic. Keep posts relevant to the community. Off-topic content may be removed without notice.

Be constructive. If you have a concern or complaint, frame it in a way that invites a solution. Personal attacks, name-calling, or inflammatory language are not permitted.

Protect privacy. Do not share another resident's personal information (address, phone number, email, etc.) without their consent.

No solicitation. Commercial advertising, unsolicited promotions, or fundraising posts are not allowed unless pre-approved by the HOA board.

No misinformation. If you're sharing information about HOA rules, decisions, or finances, please make sure it's accurate. When in doubt, direct residents to the official HOA documents or contact the board.


What Is Not Allowed

The following are prohibited and may result in post removal, a warning, or suspension of forum access:

  • Harassment, bullying, or targeted attacks toward any individual
  • Hate speech or discriminatory language of any kind
  • Threats or language intended to intimidate
  • Posting of private or confidential information about others
  • Spam, repetitive posts, or off-topic commercial content
  • Content that violates local, state, or federal law

Formal Complaints and HOA Business

The community forum is not the appropriate channel for formal complaints, maintenance requests, or official HOA business. Please use the following channels instead:

Formal matters posted on the forum will be redirected and may be removed.


Moderation

The forum is moderated by the HOA board and/or designated community administrators. Moderators may:

  • Edit or remove posts that violate this policy
  • Issue warnings to residents who repeatedly violate guidelines
  • Temporarily or permanently suspend forum access for serious or repeated violations

Moderation decisions are made in good faith. If you believe a post was removed in error, you may submit a written appeal to the HOA board within 14 days.


Reporting a Concern

If you see a post that appears to violate this policy, please use the "Report" function or contact the board directly. Do not engage or escalate publicly — let the moderation process handle it.


Policy Updates

This policy may be updated periodically to reflect changes in forum tools, community needs, or HOA governance. Residents will be notified of material changes via the HOA website or email.
